Operations Assistant

Responsible for assisting our store operations logistics including:

• Learning the current POS System and other franchise/store IT requirements concerning daily operations from performing sales, generating customer data, and answering any questions concerning retail and service inventory.
• Learn and understand all start-up and daily Standard Operating Procedures (SOP) as required for use by our franchisees to run their DD business.
• Distribute company information to potential franchisee as needed.
• At times, will work as a liaison between the corporate office and the requests from the franchises regarding their need for artwork, products, or promotional materials.
• Working with our operations manager on store continuity and consistency of the brand appearance from an operations capacity; including set-up of retail wall, execution of the plan-o-gram, and any other general merchandizing needs.
• Building and maintaining relationships with our franchisees.
• Strong oral and written communication skills.
• Knowledge of retailing concepts or spas a plus.

Requirements:
Our Operations Assistant position requires an inspired, ambitious individual with excellent computer skills in Microsoft Word and Excel, attention to detail and impeccable accuracy, enthusiasm for working with a team, the capacity to learn quickly, think, and move with velocity.

Purchasing & Inventory Control Coordinator

• This role will be responsible for managing inventory control through accurate processing of purchase orders, cycle count, and receiving production orders/samples. Reports to the Director of Operations.
• Must have experience obtaining quotes, negotiating with vendors & placing orders.
• Monitor sales history reports and forecasts for use in updating purchasing/out-sourced production activity schedules with proper usage requirements.
• Update Director of Operations (and once a week meet with Product Development and Creative Staffs) on production schedules to reflect changes in purchasing and production activities of outsourced product vendors to ensure on-time delivery of shipments to customers both domestic and international.
• Assist product development initiatives from the purchasing POV – this will include requests to source various packaging needs on an as needed basis.
• Schedule purchasing and production activities for selected items, expediting and follow-up on all orders as necessary.
• Work with product development sourcing personnel/marketing assistant to obtain products that work with proposed promotional plans on a quarterly/seasonal basis.

Skills you need to have or have the aptitude and desire to acquire to be successful in this role:
• Ability to work at speed in a fast paced business with consistent accuracy and a very strong eye for detail
• A strong aptitude for integrated computer systems and spreadsheet programs
• Knowledge of Purchasing practices and systems is necessary
• With a flat organization structure and a variety of multi-skill roles in the business, candidates need to bring exceptional energy and enthusiasm to the position on a daily basis.
• A BS degree is required (in business with emphasis on logistics or finance preferred.)

Creative Services Assistant

Position will be responsible for assisting Marketing & Creative Department:

Traffic and Project Management
• Manage marketing and creative services projects from inception through completion under the direction of Creative Director and Head of Marketing/Senior Management.
• Establish and update project plans and timelines, monitor progress, as well as partner with Creative Director to allocate resources so that projects remain on schedule and within budget.
• Establish and maintain project reporting mechanisms, provide regular updates to senior management regarding progress and alert them of potential cost/time overruns.
• Prepare project completion reports, as well as, collect and archive corresponding promotional, creative records and materials for future reference (this will include maintaining computer records for both you and Creative Director).

Assist with Global Marketing Needs
• Work directly with Creative Director to create a website portal for our international customers that enables them to obtain approved promotional materials to be modified for individual country needs.
• Coordinates, retrieves and gets sign-off from DD headquarters on all completed promotional materials used or modified for use by our international markets/franchisees.

Trade Shows and Industry Events
• Plan, orchestrate and execute a range of company and industry events including trade shows, sales meetings, as needed and vendor conferences under the direction of senior management.
• Collaborate with the Marketing Director/Senior Management to establish event messaging and graphical style; work with Creative Director (and at times, Operations) to plan and produce events including floor plans, technical requirements, as well as, signage, displays and other visuals.

Requirements:
• Bachelor’s degree in Design, Graphic Arts, Marketing or related business/creative discipline coupled with a minimum of 2 years related experience
• Proficient in Photoshop, Illustrator, Quark, Digital Photography, Photo-retouching, PowerPoint and Word.
• Comfortable with both Mac and PC platforms.
• Solid experience in executing precise digital mechanicals from approved comps.
• Prepress skills required: cutting & pasting, scanning, binding, retouching, silhouetting & 3D comp production.
• Exceptional written and interpersonal communication skills
• Exceptional reasoning and organizational skills coupled with the ability to manage competing priorities in a deadline-driven environment.
• A professional demeanor, as well as, a high-degree of flexibility, responsiveness and self-direction.

Global Training Associate (Part-Time Employee)

Member of the Corporate Training and Operations team. Accountable for the delivery of global training programs in accordance with Dashing Diva (DD) product and service manuals. Responsible for the testing of competitive products and services, as well as any proposed new products and/or services for use by the DD franchisees in agreement with business strategies as directed by senior management. Testing will follow protocols as developed by Director of PD & Operation. Reports to Director of PD & Operations.

Duties and Responsibilities:

• Deliver training programs and share learning experiences/best practices with DD nail technicians and franchisee owners including facilitated discussions, core curriculum and any customized training (such as retail product training specific to a geographical area), as deemed appropriate by corporate office.
• Help design and develop training protocols to meet promotional service needs for all markets.
• Provide training both on-site and in corporate office settings as needed.
• Must be flexible to perform on-site and off-site nail technician duties for Marketing/PR purposes under the DD brand entity.
• Be accountable for researching and identifying the most current industry services and products and suggesting ways for DD “to do it better than our competitors can.”
• Help to identify the nail technician’s developmental needs specific to the DD business model.
• Ensure cost effectiveness by selecting training programs that most appropriately meet the business need and add value for the amount of training time that is invested.
• Conduct periodic assessments and evaluations to keep franchisees focused on proper use of products and services in accordance with company training manuals.
• Ensure the consistency of service delivery and product applications in line with over-all brand image.
• Coordinate and suggest a process to deliver field training to multiple national and international locations, including delivery, facilitation assignments to fellow training & operation members –if any, and follow-up (including written reports following any outside training that involves corporate stores or franchised locations to ensure company has provided the promised deliverables in accordance with the UFOC, as well as for historical purposes & accuracy).
• Work within boundaries provided by management to set organization standards for curriculum selection/design/updates and add (by writing) into manuals once approved.
• Research and suggest appropriate metrics and reporting to benchmark the value of our training programs as they contrast with our competitors or other similar businesses.
• Work with operations team to ensure that all training activities are identified and collectively published in a central curriculum guide.

Required/Desired Experience and Skills:
• Nail Technician license (must be current)
• Distance training/education a plus
• Excellent organizational, time management and writing skills
